The Role of Applications
Application Software
In this blog, I will reflect on my experience creating a journal entry through Microsoft Word Processor, calculating percentages using an Excel Spreadsheet, developing a PowerPoint Presentation and database application documenting a typical day of my life. Each program has its own purpose and is best used for specific tasks at hand.
Microsoft Word
Microsoft Word is mainly used for writing and editing text. I used it to create my journal entry of my daily life. It offers features such as changing fonts, adjusting text alignment, and creating lists. These features make it easy to format my writing however I want and express my thoughts clearly and in an organized manner. The main advantage of Microsoft Word is its flexibility and ease of use to formulate text. However, it is not designed for handling number or making data analysis such as Microsoft Excel.
Microsoft Excel
Microsoft Excel is built for organizing and calculating numerical data. In my assignment, I used Excel to track the time I spent on different activities throughout my day. Spreadsheets make it easy to perform calculations using formulas, and they can also create charts and graphs to visually represent data. The advantage of Excel spreadsheet is its efficiency in managing and calculating numbers. The two downsides of spreadsheets that I found is that it can be confusing when you are creating complex formulas and that it is not ideal for narrative writing like you would use with Microsoft Word.
Microsoft PowerPoint
Microsoft PowerPoint is used to create slideshows and give presentations. I developed a PowerPoint presentation to visually depict the tasks from my journal entry. PowerPoint allowed me to bring text, images, and animations, making it more engaging with audiences and giving visual representation. Microsoft PowerPoint is unique because of its ability to engage an audience through a variety of features it has to offer. However, it is not effective for detailed writing and should only be used for key points.
A database application is designed to store and organize large amounts of information. Databases are great for keeping records, organizing data, and queries. They are useful when you need to retrieve specific data quickly. The disadvantage of databases, such as Microsoft Access, is the learning curve of setting up what you want, which I have struggled using in the past.
Conclusion
Overall, I found Microsoft Word to be the most ideal for documenting my day because it allowed me to easily type my thoughts and organize all my daily tasks to look clear. Some scenarios for each application to be most useful would be using word processor for writing reports, journaling or creating stories. Spreadsheets can be useful help with budgeting or tracking expenses of personal spending. PowerPoint would works well for lectures and proposals, and lastly databases would ideal for managing inventories or customer records.
